Trusted Policy Knowledge Assistant for VinUni Finding the right policy or guideline at VinUni can be surprisingly time-consuming. Today, staff and students often need to navigate through a large number of policies, regulations, guidelines, and procedures across different sources. Even when the information is available on the Policy website, users may not know which document contains the answer, which version is applicable, or where exactly to look. In some cases, they may spend significant time searching or asking colleagues for information that already exists in an official document. We propose an AI-powered Policy Knowledge Assistant that allows staff and students to ask questions in natural language and receive direct, concise answers based on trusted VinUni policy sources. The key value is not simply adding AI to the existing website. The solution creates a reliable knowledge layer over official policy documents. It collects and indexes authoritative sources, prioritizing official PDF/document versions and approved policy information. The AI retrieves relevant evidence, synthesizes the answer, and provides the exact source document and relevant section for verification. This creates a faster and more accessible way to understand university policies — reducing time spent searching while preserving trust and transparency. Phase 1 focuses on public policies and guidelines available through the VinUni Policy website, providing a working demo and measurable proof of value. Phase 2 extends the solution to confidential staff policies and internal guidelines, integrated with appropriate authentication, authorization, security, and the VSF software development process. Our vision is simple: instead of asking “Where can I find this policy?”, users can simply ask “What is the policy?” — and immediately see a trustworthy answer with its source.
